TEAM SPENDING
Signature•• 4826Give each card a clear owner and purpose, then match its controls to the expected spend.
Let a colleague make work purchases with an assigned limit and a visible record of their activity.
Connect spend to the team or budget responsible for it, so review does not begin with finding an owner.
Separate recurring or vendor-specific spending from general employee purchases.
Use the relevant amount, date range and regional controls for a defined spending purpose.
Define where, when and how an assigned card can be used. Choose from the controls available under your issuing program.
| Control | What it helps define |
|---|---|
| Amount and period | Per-transaction, daily or monthly spending limits. |
| Merchant and category | Where a card is intended to be used. |
| Country and currency | The geographic or currency scope of expected purchases. |
| Online, offline or ATM | The payment channels permitted for the card. |
| Date range | When the spending permission is intended to apply. |
See the cardholder, merchant and budget, then connect the receipt, category and cost center. Finance can review the spend against policy before accounting export.
A transaction needs a financial record even if the cardholder was authorized to make it. Card controls and expense approval do different jobs.
Follow the expense workflow
Use a clear purpose for each card you issue.
Choose the employee, department or vendor and the budget behind the card.
Apply the available amount, usage and time controls before spending begins.
Follow activity and receipt status, review exceptions and update access when responsibilities change.
Yes. Available controls can cover amount, time period, merchant, category, geography and payment channel. The issuing program determines which rules you can apply.
No. Receipt collection, categorization, cost-center assignment, policy review and accounting export are separate parts of the record.
Review their access and the status of cards assigned to them using the account’s administrative controls. Follow the provider’s process for cancellation and outstanding transactions.
Card controls include freeze and unfreeze. Freezing does not reverse completed purchases or cancel merchant subscriptions; those need their own processes.
Bring your card users, spending purposes and approval needs to the conversation.
